Position: Receptionist - Part-Time (FT Job Share)
Salary: £25-27k per annum (pro rata)
Location: Milton Keynes
WSR is recruiting for a professional Part-Time Receptionist (Job Share) on behalf of our global client based in Milton Keynes.
As the primary point of contact, you will play a crucial role in delivering exceptional customer service to both colleagues and visitors, ensuring a warm and welcoming experience.
This position entails a diverse range of tasks, including managing various administrative duties and providing support through different communication channels.
Receptionist Key Responsibilities:
- Deliver outstanding customer service by offering a warm and professional welcome to all internal, external, and digital visitors.
- Prioritise incoming communication channels, giving immediate attention to callers while ensuring live chat and visitor needs are promptly addressed.
- Manage visitor sign-in and sign-out procedures, ensuring appropriate parking arrangements and providing tokens for barrier access.
- Oversee site access passes for contractors, ensuring their return at the end of each day to maintain site security.
- Update the welcome screen with external visitors' details before their visit and remove them after their departure, with appropriate host agreement when necessary.
- Maintain a clean and presentable reception area, ensuring the coffee/drinks station is stocked and tidy.
- Handle incoming and outgoing post, including special deliveries, and maintain postage on the franking machine.
- Administer fleet requirements, such as hiring cars and managing the pool car, maintaining accurate records.
- Book flights, hotels, and taxis as required, ensuring proper authorization has been obtained.
- Manage non-core procurement processes efficiently within the system.
- Respond to and manage inquiries left in the MKinfobox promptly, redirecting messages, logging complaints, and providing information as needed.
- Log customer complaints onto the ticketing system, even if customers are online for extended periods.
- Address 'Livechat' enquiries and link them to relevant information.
- Forward inbound leads and enquiries to the lead management team in a timely manner.
- Demonstrate a proactive approach to health and safety, mitigating risks and ensuring a safe working environment.
Receptionist Essential Skills:
- Previous experience in a professional 'front of house' role within a business setting.
- Excellent communication skills to interact effectively with individuals at all levels.
- Strong organisational skills to manage multiple tasks efficiently.
- Proficiency in Microsoft Office applications, including Excel and Word.
- Numerical and analytical aptitude.
- Self-motivated and capable of working independently with minimal supervision.
Receptionist Desirable Skills:
- Familiarity with web-based chat and other software packages.
- Prior experience in company fleet administration.
Receptionist Supporting Information:
- Must reside within daily commuting distance of Milton Keynes.
- Adherence to health and safety policies.
- Possession of a clean driving license.
- Right to work in the UK.
- Ability to cover for job share partner.
- Willingness to travel within the UK and potentially to other offices if required.
