V&P Team Administrative Support

Location: Warrington

The main purpose of the role is to provide administrative support as part of the Valves and Pumps Sales Team, supporting new machines and spare parts sales through to delivery.

Responsibilities and Tasks:

  • Work under the guidance of Sales Support team leader to ensure efficient running of the order desk

  • Timely and accurate processing of sales orders in SAP & CRM

  • Create spare parts quotations with technical support from technical engineers

  • Project manage larger jobs from point of order to delivery to site

  • Issue POs for materials and services

  • Liaise with customers and factories to provide excellent customer service

  • Issue invoices and credit notes

  • Deal with internal and external customer/supplier enquiries

  • Support handling of warranty and other claims

  • Maintain master data records for customers, suppliers, and materials

  • Create/amend part numbers and prices within the system where required

  • Monitor and approve supplier invoices and credit notes

  • Create letters to be issued to customers on various topics

  • Work with Finance to ensure accurate processing of all finance related tasks

  • Keeping accurate records and maintaining good housekeeping

  • Provide general admin support to sales and technical teams

  • Generate monthly order, warranty, and stock reports to measure performance

  • Assist in gathering data for monthly sales reports

  • Collect data for quarterly figures to be submitted to MEA

  • Work on ad-hoc projects in accordance with business requirements

Skills and Qualifications:

  • A-Levels or equivalent

  • Knowledge and Experience with SAP (Preferred)

  • Minimum of 5 years working in an office customer service environment (Preferred)

  • Good Interpersonal Skills

  • Excellent written and verbal communication skills

  • Good numeracy skills

  • Willingness to learn and adapt to changing situations

  • Able to work independently, under pressure and to time constraints

  • Good working knowledge of Microsoft Office suite

  • Good team player and team work ethic
